In the fast-paced world of content creation and marketing, efficiency and consistency are non-negotiable. Standard Operating Procedures (SOPs) are the secret playbook that keeps teams operating smoothly. In this post, we'll explore an easy framework for a well-structured SOP. SOPs should be crystal clear, allowing anyone to execute tasks. They should be understandable, easy to implement, and effective. Courtesy of Google's SOP techniques, we use what we call the "Off the street" test to see if an SOP is easy to understand. This means that someone should be able to come off the street (with basic qualifications for their career) and be able to understand it.

So, what makes a good SOP structure? For us, it's a simple 5-step process. It's housed within an easy-to-navigate table of contents and guiding principles. Let's break it down.

First, is the Table of Contents. A strong SOP starts with a user-friendly table of contents, providing a quick place for easy navigation.

Next is a short overview of the Strategic Objective and General Operating Principles. The SOP kicks off with a strategic objective, explaining the "WHY" behind the SOP. It outlines the strategy, desired outcomes, and key steps. For example, a goal might be to create quality videos with minimal revisions in your content team.

The General Operating Principles are guiding principles. They ensure a consistent approach to achieving outcomes. For us, they can include key values like not rushing steps, taking pride in work, and owning up to mistakes positively.

After the purpose of the SOP is outlined, we then start the 5 Step Process:

1. Overview

This section defines the scope and objectives of the SOP, laying the groundwork for detailed steps. This might include what the scope of the project is and what the key objectives are the create a successful outcome. It is also important to explain here what a successful outcome looks like.

2. Procedure:

The heart of the SOP provides step-by-step instructions in a clear and concise breakdown. Additional companions, such as checklists, flow charts, tutorials, and troubleshooting, will also be included. These help to ensure accuracy and understanding.

3. Documents & Resources:

Here, users can find links to necessary forms, project or document templates, and other useful resources. These should all align with SOP requirements, creating a central place for all documents.

4. Review and Revision:

To stay relevant, SOPs need to be reviewed from time to time. This section should outline the frequency (monthly, weekly or even annually), and any necessary steps for updating the SOP.

5. Conclusion:

This is a summary of the whole document. Key points and the importance of following the steps are summarised and reminded. Here there should also be Contact information for any queries or assistance. This makes help easily t find for anyone that is unsure or needs help.
